Job Summar

The Operations Coordinator is a key member of the EVEXIAS team, responsible for supporting the planning, coordination, and execution of training events, conferences, and operational initiatives. This role involves logistical support, event preparation, and travel coordination to ensure a seamless experience for both internal staff and external attendees. The ideal candidate thrives in a fast-paced environment, has exceptional attention to detail, and is flexible to travel and work weekends as needed.

Key Responsibilities

Event Planning and Coordination

  • Oversee logistics for training events, conferences, and company-sponsored events, ensuring smooth execution.
  • Coordinate with trainers, speakers, vendors, and internal staff to manage event details.
  • Develop and maintain event timelines, ensuring milestones and deadlines are met.
  • Assist with site selection, venue setup, and equipment logistics.

Training & Conference Support

  • Prepare and organize training materials, handouts, and presentation aids.
  • Coordinate shipments of event-related supplies to training locations.
  • Serve as an onsite point of contact for event logistics, including participant check-in, troubleshooting, and managing last-minute changes.
  • Provide technical support for training equipment, such as projectors, microphones, and presentation tools.
  • Assist with post-event breakdown, evaluations, and reporting.

Administrative & Operational Support

  • Maintain accurate records of training attendance, evaluations, and feedback.
  • Create and update event documentation, including schedules and participant lists.
  • Coordinate travel arrangements, accommodations, and per diem allocations for trainers and staff.
  • Support general operational functions as needed, including purchasing, inventory management, and vendor coordination.

Collaboration & Communication

  • Work closely with the Director of Operations and other departments to align event initiatives with company goals.
  • Partner with marketing to promote training opportunities and ensure timely communication with attendees.
  • Serve as a liaison between departments to facilitate smooth execution of operational tasks.

Continuous Improvement

  • Identify and implement improvements to training processes and event logistics.
  • Gather and analyze feedback to refine future events and operational strategies.
  • Stay updated on industry trends and best practices in event coordination and operational support.

Qualifications

  • Must comply with all legal and regulatory requirements, including passing background checks and drug screenings.
  • Strong organizational and detail-oriented skills to manage multiple projects and deadlines.
  • Exceptional problem-solving skills and ability to work under pressure.
  • Excellent communication skills with a customer-service mindset.
  • Ability to work both independently and collaboratively across departments
  • Proficiency in Microsoft Office including Word, PowerPoint, and Excel.
  • Flexibility to travel frequently and work weekends as needed for events.
  • Experience in event coordination, training support, or administrative roles is preferred.

Physical Requirements

  • Frequent standing, walking, and sitting; prolonged standing may be required.
  • Occasional lifting of up to 50 pounds.

Educational & Experience Requirements

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • 2–3 years of experience in event planning, training coordination, or administrative roles.
  • Experience working in healthcare, pharmacy, or regulated industries is a plus.

  • Employees must adhere to all OSHA safety standards to ensure a safe working environment.
  • Safeguard patient confidentiality in compliance with HIPAA guidelines, ensuring that all patient data is handled securely and appropriately.
  • Complete mandatory HIPAA training, if applicable, and stay updated on privacy and security policies.
  • Report any potential HIPAA violations or data breaches immediately to the designated compliance officer.
  • Maintain a commitment to continuing education to stay updated on best practices and innovations in the field.
